How to migrate your members area without losing clients
A practical checklist for switching members area platforms without leaving anyone behind: content, emails, sales, client import and follow-up after the switch.
Changing members area platforms feels risky for one reason: people who already paid must keep getting in. A client who cannot open the program the day after the switch will email support, ask for a refund, or quietly give up. The good news is that a well planned migration is almost invisible to the people on the other side.
This guide applies whether you are leaving Hotmart Club, Kiwify Members, Cademi or any similar platform. The order of the steps matters more than the tool.
1. Map your programs and content before touching anything
Start with a simple spreadsheet. For every program you sell today, write down:
- the program name and the products on your sales platform that grant access to it;
- the modules and lessons, in the order clients should follow them;
- where the videos live (Vimeo, Panda, YouTube, Bunny or another service) and where the PDFs are;
- release rules: lessons that unlock after a few days, access periods, bonuses.
This map prevents the classic surprise of discovering, after the switch, that a bonus sold to an older cohort was left out. It is also a good moment to review the structure: a migration is the right time to turn scattered lessons into a clear sequence with an obvious next step.
2. Keep email as the client's identity
Email is what connects each person's purchase, account and history. If a client bought with one address, that address should open the new area. Avoid asking people to sign up again with any email they like: that creates duplicate accounts, access that does not match the purchase, and a lot of support work.
Before exporting the list from your old platform, look for repeated emails that differ only by capital letters or extra spaces. A bit of cleanup now saves hours later.
3. Connect your sales platform before the switch
This step protects your revenue the most. If you keep selling during the migration, every new purchase must grant access in the new area, and every refund must remove it.
- Create your offers in the new area, linking each product from your sales platform to the programs it unlocks.
- Set up the integration (Hotmart, Kiwify, Stripe or a generic webhook) with the URL and secret from the new platform.
- Run a test purchase and check that access was granted and the email arrived.
- Test a refund too, so you see access being revoked.
A purchase that arrives without a matching offer should be logged as pending, so you can create the offer and reprocess it. Never let a sale disappear silently.
4. Import clients and send access emails
Once your offers are ready, import your current client base with the access each person already had. Then send the access email: each client gets a link to create their own password, with nothing to remember from the old platform.
Import checklist
- Every imported client has the right program and, if relevant, the right expiry date.
- The email sender shows your brand name and replies go to your support address.
- The email explains in one sentence why the area moved to a new address.
- You know what to do if someone says the link expired: resend the access email.
5. Test in a staging copy before the official switch
Do not point your main domain to the new area on day one. Set everything up on a test address, log in as a client, go through an entire program on a phone and on a computer, download a file, watch a video and mark a lesson as complete. Ask two or three trusted people to do the same.
Only when the experience feels right should you switch the domain and turn off the old area.
6. Communicate and follow up with people who have not logged in
Tell your clients before, during and after. One email a few days ahead with the migration date, and another on the day with the new address, answer most questions. If you use WhatsApp with your audience, repeat the message there.
A migration is not finished when the emails go out. It is finished when clients are using the area again.
In the following weeks, keep an eye on clients with access who have never logged in to the new area. They did not complain, but they did not come back either. A personal message with the access link resent usually solves it.
